Check-In: Scanning Tickets at the Door

On event day, you check people in by scanning the QR code on their ticket. The Esora Organizer app turns your phone into a door scanner — no extra hardware. This page is your event-day guide.

Open the Door tab in the Esora Organizer app and point your camera at a ticket’s QR code. Each scan gives you an instant result:

  • Admitted — valid ticket, first time through. Let them in.
  • Already scanned — this ticket was checked in before. See overrides below.
  • Invalid — not a valid ticket for this event.

Along with the result, each scan shows the details you need at the door:

  • Tier name — General Admission, VIP, and so on
  • Buyer name
  • Seat — for seated events, the row and seat number (see Reserved Seating)
  • Your scan message — any per-tier note you set up, like “includes drink voucher” (see Ticket Types & Pricing)

A live check-in counter for the date keeps a running total of who’s in.

  • Manual code entry — type the ticket code in by hand if the QR won’t scan.
  • Search by name — look a guest up in the list and admit them directly.
  • Torch — turn on your phone’s light for a dark entrance.

If someone with an already-scanned ticket needs back in — they stepped out, or a scan happened by mistake — you can override and re-admit them. You’ll be asked for a reason, and it’s required. Every scan and override is logged, so there’s always a clear record of what happened at the door.

Have people working the door who don’t have the Organizer app? From the app you can create a shareable check-in link to hand them:

  • It’s time-limited and revocable — set it to cover the event, and shut it off whenever you want.
  • It’s scoped to one date, so a link for tonight can’t be used for another night.
  • Staff just open it in any browser — no app, no account, no login.
